Nathan Weill shared thisA software implementation can be technically successful and still fail. The workflows work. The automations run. But the team never changes how they work. That is why we have started building adoption dashboards into more of our implementation projects. This is one we created for a recent Asana rollout. At a high level, it separates who is present in the tool from who is doing the work in it. That distinction matters. Someone can log in every day and still do all their work in Slack or a spreadsheet. Someone else may not be logging in at all. Those are two different adoption problems. The first person may need clearer expectations or a workflow that fits their role. The second may not understand why the system exists in the first place. Without this data, both people get grouped into a vague conclusion: "The team is not using the tool." That is not specific enough to fix. A dashboard like this gives managers a clearer view of who has adopted the process, and where the rollout is losing people. It also changes our responsibility as the implementation partner. Our job cannot stop when the system goes live. A clean build is only useful when the team uses it consistently enough for the process to work. The implementation is not finished when the software works. It is finished when the new way of working starts to stick. → Where does adoption usually break down on your team?

When I’m on my phone and save a message for later, there is one reminder option I keep looking for. Remind me when I’m back on desktop. Sometimes I don’t need a reminder in 30 minutes. I don’t need one tomorrow morning either. I just need to see it again when I’m back at my computer, where I’m far more likely to deal with it. It feels like one of those small features that would quietly improve Slack for people who spend most of their day in it. Does anyone else find themselves reaching for this option?

Nathan Weill shared thisThe best AI workflows are mostly not AI. That was the most useful takeaway for me from Zapier's AI Workflow Index. Among leading adopters, AI made up only 18% of workflow steps. The rest was still rules, logic, app connections, formatting, routing, and data movement. That tracks with what we see in operations work. The mistake is trying to route every step through a model because "AI can probably do it." Can it summarize a customer email? Yes. Should it also handle the field mapping, CRM update, conditional routing, Slack notification, ticket creation, and timestamp formatting? Usually no. Those parts need reliability more than reasoning. The best systems reserve AI for the moments where judgment is needed: interpreting messy input, classifying intent, deciding what happens next, and drafting something a human can use. Then conventional automation carries the output through the business. Zapier modeled this. Workflows that reserve AI for reasoning steps cost 71% less to run than routing every step through a model. Put AI where it earns its place. Most failed AI workflows are not model problems. They are architecture problems. → Where are you seeing teams use AI for work that plain automation should handle?

Nathan Weill shared thisI’m getting asked for different projects than I was a year ago. The conversation used to be about automating repetitive work. Now it’s often about building the place where that work happens. We’re spending more time helping clients create contractor portals, operations dashboards, and other internal applications that fit the way their business runs. AI has accelerated this shift. Teams quickly run into questions like: Where does the data live? Who should have access? How does work move from one person to the next? Those questions shape whether AI becomes part of everyday work or stays as another tool people rarely use. That shift is one of the reasons I’m excited to share that Flow Digital is now a Softr Enterprise Partner. Nathan Weill shared thisAutomation is really good at moving the wrong leads faster. We’ve seen this more than once during CRM implementations. Marketing celebrates because leads are flowing into the CRM in seconds. Sales still isn’t calling them. The automation isn’t the problem. It did exactly what it was supposed to do. The real problem is that sales and marketing never agreed on what a qualified lead looks like in the first place. Speed makes a good process better. It also makes a broken process fail faster.
